Privacy policy

The Real Estate Agency respects your privacy. This policy explains which personal data we process, why, on what legal basis, how long we keep it and what your rights are.

2. Personal data we process
- Contact details: name, email address, phone number, address.
- Property details: address and characteristics of the property you want to sell, let or have valued.
- Search preferences: budget, household size, number of rooms, situation and timing.
- Messages and notes: what you tell us by form, email, WhatsApp or phone.
- Identification data: a copy of your identity document, where the Dutch Anti-Money Laundering Act (Wwft) requires us to verify your identity.
- Financial data: bank account number and invoice details, where needed to execute or invoice an assignment.
- Application data: CV, motivation and contact details when you apply for a job.
- Technical data: IP address, browser, device and website usage, via cookies and similar technologies (only with your consent where required).
We do not intentionally process special categories of personal data. Please do not send us such data unless we ask for it.

4. Automated decision-making
We do not take decisions based solely on automated processing that have legal or similarly significant effects for you. The online valuation tool gives an indication only; a person always reviews it before we advise you.
5. Who we share data with
We never sell your personal data. We only share it where needed for the purposes above:
- Service providers who process data on our behalf, under a data processing agreement: website hosting, our CRM (Realworks), email service (Brevo), and IT and office software.
- Parties we engage to carry out your assignment, such as photographers and videographers, stylists, surveyors for floor-area measurements, appraisers, building inspectors and energy-label advisers. We share your name, phone number, email address and the property address with them so they can schedule and carry out their work, and only for that purpose.
- Government bodies and supervisors, where we are legally required to do so.
- Google (Google Tag Manager, Google Analytics) and Meta (Meta Pixel, WhatsApp), for analytics, advertising and messaging, only in line with your cookie choices.
Where needed for your transaction, we also share data with the other party or their agent, notaries, mortgage advisers and lenders. When you sell or let a property through us, we publish its address, details, photos, videos and floor plans on our own website and on property platforms such as Funda and Pararius. We do not publish your name or contact details there, and we ask you to remove personal items from photographs where possible.
6. Transfers outside the EEA
Some providers, such as Google and Meta, may process data in the United States. Such transfers rely on the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses.
7. Cookies
We use functional cookies, and analytical and marketing cookies only with your consent. You can change or withdraw your consent at any time via the cookie banner. See our Cookie Policy for details.
8. Your rights
You have the right to access, correct and delete your data, to restrict or object to processing, to data portability, and to withdraw consent at any time (without affecting earlier processing). Email your request to info@therealestate-agency.com. We respond within one month. We may ask for additional information to confirm your identity; please do not send a copy of your ID unless we ask for it.
You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
9. Security
We take appropriate technical and organisational measures to protect your data, including secure connections (SSL), access control and data processing agreements with our suppliers. If you suspect misuse, please contact us.
10. Minors
Our services are not intended for persons under 16. If you believe we have received data from a minor without parental consent, contact us and we will delete it.
11. Changes
We may update this policy. The date at the top shows the latest version.
